North American Billing provides medical billing and revenue cycle management services to healthcare providers and medical practices across the United States. Because our services are billed directly to practices on a professional, B2B basis, this policy sets out how refund requests are handled for the work we perform.

Every engagement starts with a service agreement that outlines the scope of work involved, whether that's coding support, claim tracking, AR follow-up, or another part of the revenue cycle. That agreement shapes how refund requests are assessed, so each one is reviewed against the specific terms it falls under.

When Refunds Apply

Refunds are considered when billed services were not delivered as agreed, or where a documented error on our part directly affected the work performed. Requests raised within the timeframe set out in the client agreement receive priority review.

Work already completed, including claims submitted, accounts managed, payments reconciled, or reports delivered, is generally not eligible for refund once performed. This reflects how professional billing services work: value gets delivered as the work progresses, not at a single point of purchase.

Approved refunds are processed according to the payment method and terms set out in the original service agreement, within a reasonable timeframe once the request has been confirmed.
